Pay $16.27/hr

Responsibilities

The Administrative Assistant will have the following responsibilities.

  • Enters new users and updates users in the statewide surveillance database PRISM. Enters data into surveillance
    and case management systems to maintain information for field records, laboratory results and task lists. Timely,
    accurate coordination of Out of Jurisdiction Record Search Requests. Follows the Interstate Communication
    Control Record System Procedure guidelines set forth in the HIV/STD Program Manual.

  • Sort, deliver and log all incoming and outgoing STD laboratory reports, checking emails and EFax’s received on
    the shared STD Prevention Program email account. Distributes laboratory reports (by fax, E-Fax, email or mail) to
    their correct and respective regions. Provide programmatic guidance and technical assistance to the public health
    regions and metros supporting STD program activities. Uses computer systems to enter data or process
    information.

  • Reviews records to ensure accuracy and completeness. Maintains records and produces reports. Maintains
    professional working relationships with co-workers and customers. 20%
  • Answers incoming calls for the STI Program and forwards to the appropriate person or takes messages for routing
    to the appropriate person. Check’s fax and mail daily, assists with other projects as needed. Provides
    administrative support to the unit. Maintains files and records as appropriate. 20%

Qualifications

The Administrative Assistant should have the following qualifications.

  • Experience with Microsoft for Word and Excel
  • Experience typing
  • Administrative experience
  • Data Entry Experience
  • Knowledge of HIPAA and confidentiality

 

Physical Requirements:

  • Job frequently requires sitting, handling objects with hands.
  • Job occasionally requires standing, walking, reaching, talking, hearing, and lifting up to 25 pounds.
  • Vision requirements:  Ability to see information in print and/or electronically.
