Knowledge Services is seeking an Executive Assistant for a contract through the end of June 2026 (potential for extension) with the State of Maine working onsite in Augusta, ME.
Executive Assistant Responsibilities include:
• The Executive Business Partner (EBP) provides high-level administrative and operational support to the Chief Information Security Officer (CISO) and senior leaders within the Information Security Office (ISO).
• This role ensures the smooth functioning of daily operations through expert calendar management, communication coordination, document organization, and project support.
• The ideal candidate is proactive, discrete, and thrives in a dynamic, high-impact environment.
• Serve as a strategic partner to the CISO and ISO leadership, managing calendars, coordinating meetings, and preparing briefings.
• Manage complex travel logistics and ensure timely submission of authorizations and expense reports.
• Support governance activities by preparing agendas, documenting meeting outcomes, and tracking action items.
• Draft, organize, and maintain executive-level documents, presentations, reports, and internal communications.
• Assist with procurement, invoice processing, and budget tracking in alignment with state policies.
• Handle confidential and sensitive information with the utmost discretion and professionalism.
• Strong organizational skills with the ability to manage multiple priorities and deadlines independently.
• Demonstrated ability to collaborate across departments and communicate effectively with executive-level stakeholders.
• Familiarity with government operations, cybersecurity frameworks, or IT environments is highly desirable.
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
Executive Assistant Required Skills:
• 3–5 years of experience providing executive-level administrative support.
• Exceptional communication, interpersonal, and organizational skills.
• Proven ability to work independently while handling confidential information with care.
• Experience supporting budgeting, procurement, policy documentation, or executive project coordination.
