Position is assigned to the FSSA/Division of Family Resources and will assist in general office functions and provide assistance to clients submitting public assistance eligibility paperwork.  This position will interface directly with the general public, clients, office staff, and other agencies for the purpose of furnishing and collecting information to expedite the daily work flow. 

Responsibilities

  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel;
  • Reviews information provided by clients, assist clients in accessing computer applications, and may explain various program requirements; Schedules the client and logs them into the relevant state system;
  • Scans documents into client case file; Responds to questions and reassures clients that their issues will be addressed;
  • Furnishes standardized information as needed or requested;
  • Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes;
  • Reviews, verifies client information in the Work Force Management System (WFMS) and the Indiana Client Eligibility System (ICES) and communicates it to clients as appropriate;
  • Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department;
  • Operates office machinery related to general office activity, such as computer, copier, calculator and FAX machine; Ensures that copiers are in good working order and schedules repairs as needed.
  • Reports on a daily basis the number of clients assisted and the type of assistance provided and maintains the daily voter registration report;
  • Performs other duties as assigned.

Qualifications

  • Working knowledge of specialized computer screens/forms and procedures used in the assigned work;
  • Thorough knowledge of agency and office procedures;
  • Adherence to the Standardized Dress Code requirements;
  • Basic knowledge of agency program terminology and special regulations;
  • Ability to gather information from client;
  • Ability to maintain confidentiality;
  • Ability to provide appropriate information to clients and visitors;
  • Ability to operate a variety of office equipment;
  • Ability to communicate effectively displaying courteous behavior both in person and on the telephone; and
  • Performs moderately complex tasks following established procedures and practices
  • High school diploma or equivalent
  • Recent experience in a clerical role/customer service
  • Proven job stability
  • Customer service oriented
  • Strong desire to help others
  • Computer knowledge
  • Clean criminal background
  • $10.50/hr
